Group Bookings – Key Facts

  • Deposits for group bookings are due within 14 days of making your booking.
    • We are enforcing the deposit policy much more vigorously this year.
    • Bookings will be cancelled automatically if deposits not received within 14 days.
    • Payments can be made by cash, cheque or BACS.
  • Balance payments for group bookings are due by 01.05.2018
  • Ratio for group bookings is maximum of 1 leader per 5 participants, with a minimum of 3 leaders per booking
  • Young Leaders must be booked in either as participants or central staff (see below for full details)

Nominal Roll
Please complete the adult nominal roll for your group booking as soon as possible. A completed nominal roll means:

  • all adults listed,
  • valid DBS/CRB
  • profile photo uploaded.

If you need to amend your numbers, you can do this by contacting Jayne Rose (Campers Admin). Completing the nominal roll as early as possible will help us to complete our checks, ensuring we are compliant with DBS/CRB requirements, and can get ID Cards printed in good time to help speed up the check-in process at camp.

Young Leaders
The policies concerning leader-to-participant ratios for residential events, from both TSA and GGUK, both state that young leaers cannot be included in the adult ratios and must be supervised by an appropriate adult leader at all times while undertaking their young leader activities. We therefore cannot allow groups to include young leaders within the adult ratio for group bookings.
Young Leaders are however extremely welcome on camp but must attend as either full participants or central staff.

Young Leaders Attending as Full Participant
Young Leaders attending as full participants are able to take part in all the activities on site. They should be booked in as either Explorers or Senior Section on your group booking.

Young Leaders Attending as Central Staff
Young Leaders attending as central staff should book themselves a staff place through the online booking system and register for one of the following teams:

  • Activities
  • Arts & Crafts
  • Knife, Axe and Backwoods Skills

They should also mark on their booking that they are ‘camping with their group’.

They will not be able to take part in the activities on site (as they will be part of one of the teams helping to run them) but will only pay fees to attend camp if their staff registration requires this (eg, if they order a staff T-Shirt).
Unless central catering is booked as part of their staff registration, it is up to the group to organise catering arrangements for them.

Staff Bookings – Key Facts

  • Fees (if applicable to your booking) are due within 28 days of making your booking.
  • Payments can be made by cash, cheque or online using credit/debit card.

NOTE: Card payments can only be made prior to camp. There will be no card payment facility at camp.

Under 18 Staff Members

You do not need to nominate a responsible adult in order to submit your booking this year. We have decided instead to appoint a 14-17 Sub Camp Leader. This person will be the responsible adult for any and all explorer scouts and senior section members camping there.
For those of you camping with your group, the leader in charge of the group booking will be designated as your responsible adult for the weekend.
